How IntelliVector collects, uses, and protects personal information in accordance with Canadian privacy law.
1. Introduction
IntelliVector ("we," "us," or "our") is committed to protecting the privacy and personal information of individuals who interact with our website at intellivector.pro, use our services, or communicate with our team. This Privacy Policy describes how we collect, use, disclose, and safeguard personal information in compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA), S.C. 2000, c. 5, and applicable provincial privacy legislation including Ontario's Personal Health Information Protection Act (PHIPA) where relevant to our healthcare clients.
IntelliVector is headquartered at 100 King Street West, Suite 5600, Toronto, ON M5X 1C9, Canada. Our Privacy Officer can be reached at [email protected] or by telephone at +1 416 555 3847.
2. Accountability
IntelliVector is responsible for personal information under our control. We have designated a Privacy Officer accountable for our compliance with PIPEDA's ten fair information principles. We require third-party service providers who process personal information on our behalf to maintain comparable privacy and security standards through contractual agreements.
3. Identifying Purposes
We collect personal information for the following identified purposes:
- Responding to enquiries submitted through our contact form, email, or telephone
- Providing vector-semantic AI consulting, implementation, and support services
- Processing consultation bookings and preparing project proposals
- Managing client relationships, contracts, and invoicing
- Improving our website performance and user experience through analytics
- Complying with legal and regulatory obligations under Canadian law
- Sending service-related communications and, with consent, marketing materials
We will identify the purposes for which personal information is collected at or before the time of collection. If we intend to use personal information for a new purpose not previously identified, we will obtain your consent before such use, except where permitted by law.
4. Consent
IntelliVector obtains meaningful consent for the collection, use, and disclosure of personal information. Consent may be express (e.g., checking a consent box, signing a service agreement) or implied (e.g., providing contact information to request a consultation). You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting our Privacy Officer. Withdrawal of consent may limit our ability to provide certain services.
For sensitive personal information, including information processed during client engagements involving health data, financial records, or legal documents, we obtain express written consent and implement enhanced security controls.
5. Limiting Collection
We limit the collection of personal information to that which is necessary for the identified purposes. Information we may collect includes:

- Technical data: IP address, browser type, device information, pages visited, referral source
- Cookie data: preferences stored via localStorage and session cookies as described in Section 10
- Client engagement data: correspondence, meeting notes, deliverables, and project documentation
We do not collect personal information indiscriminately or under false pretences.
6. Limiting Use, Disclosure, and Retention
Personal information is used and disclosed only for the purposes for which it was collected, except with consent or as required by law. We may disclose personal information to:
- Employees and contractors who require access to perform their duties
- Cloud infrastructure providers hosting data in Canadian regions where contractually required
- Professional advisors (legal, accounting) bound by confidentiality obligations
- Law enforcement or regulatory bodies when required by valid legal process
We do not sell personal information to third parties. We retain personal information only as long as necessary to fulfil the identified purposes or as required by law. Enquiry data is retained for three years; client project data is retained for seven years following project completion or as specified in service agreements.
7. Accuracy
IntelliVector takes reasonable steps to ensure personal information is accurate, complete, and up to date for the purposes for which it is used. You may request correction of inaccurate personal information by contacting our Privacy Officer. We will amend the information and, where appropriate, notify third parties to whom the information has been disclosed.
8. Safeguards
We protect personal information with security safeguards appropriate to its sensitivity, including:
- Encryption in transit (TLS 1.2+) and at rest for stored data
- Role-based access controls and multi-factor authentication for internal systems
- Regular security assessments and vulnerability testing
- Employee privacy and security training programmes
- Incident response procedures for data breaches
- PIPEDA-aligned data handling protocols for all client engagements
While we implement industry-standard safeguards, no method of electronic transmission or storage is completely secure. We cannot guarantee absolute security but commit to notifying affected individuals and the Office of the Privacy Commissioner of Canada of significant breaches as required by law.
9. Openness
IntelliVector makes information about our privacy policies and practices readily available through this Privacy Policy on our website. Additional information about our privacy practices is available upon request by contacting our Privacy Officer.
